The parent portal

A safeguarding-first, child-scoped window onto your child's development.

The parent portal is a private, limited space for a parent or guardian. It is built safeguarding-first: you are linked only to your own child or children, you must record consent before any data is shown, and coach-owned records remain under coach control.

Being invited

A coach invites you to the portal and links you to the child or children you support. You receive an invitation to set up your access, and each child remains a separate, coach-managed link on your account.

Recording consent

Before any of your child's information is shown, you must record consent. This is a deliberate safeguarding step — until consent is recorded, no data is displayed.

What you can see

The portal is scoped to your linked children. For the child you select, you can see:

  • Shared notes — coach notes that have been explicitly shared with you.
  • Published reports — approved player reports a coach has published to the family portal.
  • The schedule of upcoming events.
  • Rostered games your child is part of.

What you cannot see

  • Any unlinked child — the portal shows only children linked to your account.
  • Body-fat measurements — these are coach-only and never shown in the portal.
  • Notes and reports that have not been shared with you.

Marking availability

You can mark your child's availability for events as Available, Maybe or Unavailable. This helps the coaches plan rosters. See Schedule, games & availability for how this fits into the coaches' planning.

What you can contribute

Clearly labelled family actions let you submit tasks and off-ice logs for coach review, acknowledge reports, add parent feedback, upload shared media, message authorised team staff and order from the team shop. These actions do not let you alter coach assessments, private notes, attendance or another player's data.

Buying and selling second-hand kit

The Kit exchange lets consented academy families list used equipment for coach approval, browse approved items and reserve one for collection or postage. The seller chooses whether to accept PayPal.Me, bank transfer or cash on collection and then records when payment arrives and when the item is ready, sent or completed.

RinkTracker does not collect the resale payment. Seller bank details and private collection instructions are revealed only after a buyer reserves the item, and a postal address is visible only to that buyer and seller. Item details, the listing photo and the seller's display name are visible to other consented families in the academy.
