Terms of service
The agreement that governs access to and use of RinkTracker.

1. The agreement
These terms form the agreement between RinkTracker and the academy or organisation that uses the service (the "customer"), together with the individual users the customer invites. By accessing or using RinkTracker you agree to these terms. If you do not agree, you should not use the service.
2. Access is invite-only
RinkTracker is not a self-service public sign-up product. Access is invite-only: an academy administrator invites coaches, staff and parents or guardians, who then create accounts. You must be authorised by the relevant academy to hold an account, and you must provide accurate details when you set one up.
3. Account eligibility and security
You are responsible for keeping your sign-in details confidential and for all activity that happens under your account. You must let the academy or us know promptly if you believe your account has been accessed without your permission. Accounts are personal to the user they are issued to and must not be shared.
4. Acceptable use
You agree that you will not:
- use the service for any unlawful purpose or in breach of safeguarding obligations;
- access data you are not authorised to see, or attempt to bypass access controls;
- attempt to interfere with, probe or disrupt the service, its security or its tenant isolation;
- upload content that is unlawful, harmful, or that infringes another person's rights;
- use the service to identify or contact a child other than as the platform intends.
5. Each academy is responsible for its own users and consents
Each academy is responsible for the users it invites and for how they use the platform. Academies are also responsible for obtaining the appropriate consents — in particular, parental or guardian consent before inviting a parent to the child-scoped portal and before a child's data is shared with a guardian — and for maintaining their own safeguarding policies, DBS checks and designated safeguarding leads.
6. Intellectual property
RinkTracker, including its software, design and content, belongs to us and our licensors. We grant the customer a limited, non-exclusive, non-transferable right to use the service during the term of the agreement. Nothing in these terms transfers ownership of the platform to the customer.
7. Customer data ownership
The data a customer puts into the platform — including player records, assessments, notes and reports — remains the customer's data. We process it to provide the service and in line with our privacy policy. We do not claim ownership of customer data.
8. Availability and "as is"
We work to keep the service available and reliable, but it is provided on an "as is"and "as available" basis. We do not warrant that the service will be uninterrupted or error-free, and we may carry out maintenance that temporarily affects availability.
9. Limitation of liability
Nothing in these terms limits liability that cannot be limited by law. Subject to that, to the extent permitted by law we are not liable for indirect or consequential loss, or for loss of profits, revenue or data, arising from use of the service. Where a separate written agreement exists between RinkTracker and an academy, the liability provisions in that agreement apply to that customer relationship.
10. Suspension and termination
We may suspend or terminate access where these terms are breached, where there is a safeguarding or security concern, or where we are required to do so by law. A customer may stop using the service at any time. On termination, we will deal with customer data in line with our privacy policy and any agreed data-return or deletion arrangements.
11. Governing law
These terms are governed by the laws of England & Wales, and the courts of England & Wales have jurisdiction over any dispute, save where mandatory local law provides otherwise.
12. Changes to these terms
We may update these terms from time to time. When we make material changes we will update the "Last updated" date and, where appropriate, notify customers. Continued use of the service after a change takes effect means you accept the updated terms.
